Plenty of workplaces still run on paper: a clipboard by the door, a weekly sheet signed on Friday, a monthly log for a part-time job or a volunteer program. This generator builds a clean, professional timesheet in seconds. Choose weekly, bi-weekly, semi-monthly or monthly, add employee and company details, print it blank to fill in by hand, or pre-fill a regular schedule with hours already totaled. Every sheet can also be downloaded as a CSV file for a spreadsheet.
How to make your timesheet
- Pick the layout: weekly (7 days), bi-weekly (14 days with a subtotal for each week), semi-monthly (the 1st–15th or the 16th–end of month) or monthly.
- Set the date the period starts on. Rows are dated and labeled with the weekday automatically.
- Fill in the company, employee name, ID, department and supervisor — or leave them blank to write in later.
- Choose the break columns: lunch out and lunch in, a single break-minutes column, or none. Choose 12-hour or 24-hour time and whether to include a notes column.
- Leave Fill on Blank for a template, or choose Pre-fill a regular schedule and enter your usual times and work days.
- Click Print timesheet or Download CSV.

Because the Fair Labor Standards Act measures overtime by workweek, bi-weekly sheets include a total for each week rather than only for the period.
How totals are calculated on pre-filled sheets
daily hours = (time out − time in) − (lunch in − lunch out)
Daily hours are added within each 7-day block counted from the start date. Hours above 40 in a block are listed as overtime, and if you enter an hourly rate the summary shows gross pay with overtime at 1.5×.
Example
A bi-weekly sheet starting Monday, October 12, 2026, pre-filled Monday to Friday from 9:00 AM to 5:30 PM with lunch from 12:00 to 12:30:
- Each workday: 8:30 on the clock − 0:30 lunch = 8:00
- Each week: 5 × 8 = 40:00, so no overtime
- Period total: 80:00; at $22 an hour, gross pay is 80 × $22 = $1,760.00
Tips for paper timesheets
- Write times as they happen, not at the end of the week, and use AM/PM or 24-hour time consistently.
- Correct mistakes with a single line through the wrong entry, write the right time next to it and initial it. Don’t use correction fluid.
- Record unpaid meal breaks only. Short rest breaks of 5 to 20 minutes are paid time under federal rules and should not be deducted.
- Use the notes column for PTO, sick leave, holidays, job codes or missed punches, so payroll doesn’t have to guess.
- Sign and date the sheet, and get a supervisor’s approval before the payroll deadline.
- Keep a copy. Employers must keep time cards for two years and payroll records for three (29 CFR Part 516), but a personal copy helps if a paycheck is ever wrong.
Printing and file details
The print stylesheet hides everything except the timesheet and sets a US Letter portrait page with narrow margins, so a monthly sheet with 31 rows still fits on one page. The CSV file contains the header details first, then one row per day with time in, lunch times, time out, hours in h:mm and decimal hours, and the totals at the bottom.
To total hours you have already recorded, enter them in the timesheet calculator or the bi-weekly time card; to convert written times like 7:45 into payroll decimals, use the time to decimal calculator.
Frequently asked questions
How do I save the timesheet as a PDF?
Click Print timesheet and choose 'Save as PDF' (or 'Microsoft Print to PDF') as the printer in your browser's print dialog. Only the timesheet is printed, without the website around it.
Can I open the timesheet in Excel or Google Sheets?
Yes. Download CSV saves the header details and every row as a comma-separated file that Excel, Numbers and Google Sheets open directly. Times are written in 24-hour format so spreadsheets read them as times.
What should a timesheet include?
At minimum: the employee's name, the pay period, the date of each workday, start and end times, unpaid meal breaks, daily and total hours, and signatures from the employee and a supervisor. A notes column is handy for PTO, holidays and job codes.
How is overtime shown on a pre-filled timesheet?
The summary splits hours into regular and overtime using 40 hours per 7-day workweek, counted from the period's start date. Pick a start date that matches your employer's workweek for accurate overtime.
Is my information stored anywhere?
Settings such as your name and schedule are saved only in your own browser so the form is ready next time. Nothing is sent to a server. Use Reset to clear them.
